Hi,

Please help, I am trying to put together a leave procedure for about 33 staff, at the moment I get them to fill leave forms that i put together when we had 10 staff now that we have grown I find it difficult to make sure that forms are returned to me.  Any ideas?

Yes.

One way is to keep these yourself.  Individuals obtain their forms from you when they want to book leave, it is signed by their manager or supervisor and then returned to your for filing.

The way we manage this is my new company (over 200 staff), is that we have folders labeled A-Z which sit in an open plan area in front of the HR team for easy access by all staff.  Again individuals take their leave form, complete it and have it signed by their manager or supervisor and then return it to the appropriate folder.  

This info is reported on each month so it is necessary for the information to be readily available.

I can't imagine trying to do timecards for an organization that doesn't keep this information electronically.  I find keeping timecards extremely easy, but then we all (employees) request our leave in the computer program which tracks our actual leave balances, then our supervisor must approve it electronically in order for the timecards to go through appropriately (without errors).  As timekeeper, you can post their leave without supervisor approval (since most of the time they've already been off by the time you post it) and it's just waiting before timecards are submitted for the payperiod for the suprevisor to approve all overtime or leave.  This works really well for us, and I wouldn't want to try it any other way.

Welcome to DD!

I keep a supply of request forms for Annual Leave / Leave of Absence that staff collect from me as and when they require them.  I also maintain a clour-coded calendar in Excel detailing staff leave / absence days so the Line Manager can see at a glance when staff are in / out.

It's simple yet effective.

My company has similar procedures to those already described.  Along with a rule: no signed form returned to HR ... no annual leave.  It's a bit draconian, but it works like a charm.
