My new exec has asked me to create some kind of tool and I'm not sure what to use or where to start. She needs to track action items other people promise to her--reports they will do by the end of March, projects they will finish by the fourth quarter of 2007, that kind of thing, and have it automatically remind her to check with the party to be sure it's been done and she has the results. I use Outlook for this myself, but she wants something outside of Outlook.
Having me remind her face to face as these things come up is NOT the way I want to handle this! The more self-sufficient she is, the happier I will be.
What would you all suggest?

Not sure if she wants something electronic but (and Jess will love this).....my 2 bosses use a brought forward system....which I have not used since my early days, if at all. You could also set something up on excel, but you/she would have to open that spreadsheet and check it every day. You could set conditional formatting on the spreadsheet so that once you hit your target reminder date, it will flag red for example.
Can't think of anything better than Outlook or Tasks - am sure others will comment accordingly. Remember you can set tasks for others.

How about mobile phone? If she has one (and will allow) the calendars commonly in use allow for reminders!.
Love the brought forward system, but it never really worked for my previous bosses as they were so disorganised that I was the one who had to remember and nag and nag....
Jess (don't ask about my own personal filing / reminders as I am so disorganised at the moment!)

Oh my gosh, no, she is not organized enough to use a brought forward system. She HAS a BlackBerry and it can remind her of things. But doesn't use it.

Filebox numbered 1 to 31. Used to file or chase something at a later date. I use it for travel docs and invites to lunches etc. It means even though my bosses might task themselves to do something, the paperwork is not actually filed away until the meeting or event or task comes round. Also use it for letters/complaints - I would cc the details to the relevant dept but would chase it up after 7-10 days to get a status report for my boss. Been a long time since I've used it but it works ok. Usually the first thing I do each morning while logging in.

We use a tickler/brought forward system here but we call it the Dolly Trolley or DT. I file the relevant paperwork that comes through and the trolley has a 3month roll, my boss checks it daily and deals with it accordingly. It lives by his desk so it's easy for him to do. He will file stuff himself but the majority of that job falls to me.
I do add deadlines to my outlook so I can remind him but he's very good usually

I have installed a set of files, numbered 1 to 31, in filing cabinet drawer in my boss's office for just this purpose. I also use my Outlook calendar for my own reminders and reminders-to-remind-boss.

Hi, dettu! I'm usually just a lurker on the forums, but I thought I might have an idea that could help you. Google has a free calendar (can be shared/accessed from any computer) that can also be set up to send reminders and notifications to your mobile phone. Either of you could enter reminders into the calendar. (I'm not very familiar with Outlook, and I'm assuming it doesn't have this feature.)
