Pass the virtual chocolate, please

OK, so a department related to us three miles up the road is throwing a fundraising event in California.  The contracts were sent down here to be signed by big bossie. The guy throwing the event bypassed all the admins and sent the contracts down himself, which means of course that no copies were ever made to keep on file.

Now the guy throwing the event is looking for the signed contracts to forward to the caterer in California.  Yep, you guessed it, they're nowhere to be found.  According to big bossie's office, they were forwarded to the office manager, whose last day was last Friday.  In desperation we called the OM at home and left a message, but haven't heard back.  Meanwhile, the caterer does not have the contracts for the event, which, by the way is this Friday (as in two days from now), and is entirely within their rights to cancel.  We've considered having them fax another copy of the contracts but (1) event guy doesn't want to admit they're lost (trying to save face in front of big bossie) and (2) big bossie left for Europe over the weekend so he's not available to sign them anyway.

Pass the chocolate, please...it's going to be a rough day.

Time to get proactive girlfriend! This is what separates Admin from SUPERAdmins.  Sit for a minute and think about what you can do to proactively avert the coming disaster.  Can contracts be resigned? do you know enough about what they should have said to be sure? if big bossies in Europe, time to cast a line just a bit further down the food chain then, as in, who's in charge.  Without doing the "I'm a chicken with out a head dance" gently make this individual aware of the situation.  Doing it without knifing the guy who's lost them isn't going to be easy and I suspect it's that poor office manager who isn't there anymore who end up taking the blame, but that's another thread entirely.  

What are the possible ramifications for your company if this event is cancelled? Can you risk NOT being proactive and let an opportunity to shine pass you by?

We say Nahhhhhh! Get to it, deal with it, take it to whomeever needs to be aware that you're dealing with it and do what admins do girl pal......Handle it!
