Q. Ever wondered how to recover deleted items in Outlook?

A.  Here's how...

1. From within Outlook, go to Deleted Items Folder
2. From the Tools menu click Recover Deleted Items
3. Select the item or folder you want to retrieve from the list
4. Click Recover Selected Items

Selected items should appear in your Deleted Items Folder.

NB. Some items or folders may not be recoverable because of the length of time that deleted items are stored on the server, which is set by your IT Administrator.

Q. Ever wondered how to extend the viewable free/busy section?

A. The default for viewing the free/busy section of the Outlook Calendar is set for two months by Microsoft (current month plus one month). To make the free/busy section viewable to include a longer period -

·         Log into Outlook (you can be on the email inbox to make this change)
·         Click Tools and Options
·         Click Calendar Options
·         Click Free/Busy Options, and make your change (12 months is advised)

NB: This assists greatly when checking availability for meetings, but can only be changed using the computer that the owner of the calendar uses.  If you work for a team, send them the steps above so they can change this on their own computers.

Q.  Ever wondered how to view a selection of dates at the same time?

  • From Calendar view, select Work Week
  • In the top right corner you will see the current month
  • Click on that month or scroll left/right to choose another month
  • While holding the Ctrl key, click the dates you wish to view (these may or may not change colour depending on which version of Outlook you are using)
  • The Work Week will then display the dates you selected to view

Q. Ever wondered why distribution lists are not sorted in alphabetical order according to surname?

A. Enter surname first so entries are listed A-Z.....eg. Bloggs, Joe

For existing distribution lists, just open and edit each entry.
