1  General Discussion / Sound Off! / Re: Travel Arrangements on: May 20, 2012, 05:18:23 pm
My boss will give me a date, I will call up several different airlines and times and give him a few choices.  This works great for his domestic travels, on international though he actually gives me the exact flights he wants.  He change his mind a lot, wants very specific layovers and cities to fly through.  I used to make them but we realized when I was on the phone, he would stand there and I would  basically repeat the options to him or there would be 10 emails for one flight.  We were both wasting time.  Now with the internet he pops on, lets me know what he wants and I book it.  As for hotel arrangements, that is 100% me.  I have his preference list, what type rooms, questions to ask.   This is my basic procedure

Talk to boss, get general details
Book travel plans (with the exceptions above)
Research hotels - (I have a check list of the little things, like non smoker room, a room close to the elevator, he likes hotels within 3 blocks (if possible) to where his meeting is, doesn't want airport hotels, wants a bowl of red m&m's next to his bed (just kidding on the m&m's)
I book his car/transportation arrangements
Prepare a package with itinerary, emergency numbers, and other important information, backgrounds, if international copies of his important documents, etc.

Once we go over the basic details and talk about his air flight plans, I have complete authority to make all travel arrangements, he trusts I will get him into the best hotel for the best price with his requirements.

2  General Discussion / Admins 4 Admins / Anyone use Google Docs all the time? on: February 26, 2012, 07:58:47 am
I am looking for a new job and more and more I see positions for Google Docs.  One that really interests me wants Google Calendar.  I have used Outlook and   I have extensive experience with Microsoft Office, but not "Google Docs"  does anyone work with Google Docs and if you can let me know if they aren't .. normal?  I played around with them and to me they seem.. a bit basic but not different.   Does anyone use Google Docs on a regular basis and can tell me the difference?  Thanks!
3  General Discussion / Sound Off! / Re: On average, how many hours a week do you work? on: February 26, 2012, 07:49:15 am
Lately only 40 hours a week (no overtime) and I try very hard not to "take my work home."  When I go home I leave work problems at work.  On the same note, when I am at work I don't bring my home problems to work. Well that isn't totally true if my daughter calls and says Mommy, I need this or that!
4  General Discussion / Admins 4 Admins / Re: Screening Calls on: December 29, 2011, 06:07:25 am
It is funny how we all have different situations.  I agree with what this article says.   My company would rather not have people be transferred to voicemail and if at all possible have real people screen calls and help the people (even the boss).   Just today the boss was giving a lecture to a semi new person about always trying to answer the phone and handle messages and only send someone to the voice mail after we try to help them or get some type of message.  We also have a preferred greeting we should try to use.  Good morning, company name, this is Alicia, how may I help you?  We also were told to never let someone (unless we know.. really know like a co worker, wife.. ) where they are.   This article is so my situation 100%.    But with that said, many of the companies I work with don't have anyone to answer phones, all calls went directly to a enter by last name or extension email box.
5  General Discussion / Admins 4 Admins / Administrative Rut on: October 10, 2011, 10:03:29 pm
I am trying to think of advancement opportunities within the administrative support world?  I am feeling somewhat in a rut.  I am not seeing the long term other than what I am doing now.   I love what I do, I just want more at the same time.  Something to challenge me.   I know there are many paths and many directions I can go, I just am hoping maybe others on this board can give some inspiration on ideas that will jolt something in me to strive for.
6  General Discussion / Sound Off! / Re: How did you find your current position? on: October 10, 2011, 09:52:53 pm
3 years, and I found this job on Craigslist (yes there are a few legit jobs out there on Craiglist!)
7  General Discussion / Sound Off! / Re: Email for Boss on: August 08, 2011, 05:29:37 pm
I have access to the email box, I weed out spam and pure information emails.  There are a list of names I don't open.  I have a file three files folders in his email system that I drop them in, Urgent, Mail, and Information. If I run into something urgent regardless of what it is or who it is from, of course I put it in that file, the bulk of the mail goes into Mail and if there is a company meeting or announcement, I put it in information.  Information is more like a .. no hurry to read box.

For me?  I set up the same system I have folders for everything, expense emails, client emails, (each company has their own file), personal (not "personal" but work related just to me, my personal personal I get on my private gmail account.)  I try to get to my email taken care of so I keep inbox clear.

9  General Discussion / Sound Off! / Re: Work Area on: July 14, 2011, 08:52:03 pm
We went from 6 foot cubicle walls to 4 feet or so to have a more "open" environment.  I liked the privacy of the higher walls, but I am sure for the majority of people, it is better.  I work right across from my bosses office and have a conference room I pop in to make confidential calls.  I do think it is helpful to be near the bossie office, but there are times I wish I was way across the room!

Toothpaste, let it dry completely then rub it off.
12  General Discussion / Sound Off! / Re: Wow! When you think you have seen it all on: April 12, 2011, 06:43:43 pm
I know our company does call, most of the time, but if you have someone answering a phone and lying they would get a way with it.  Even more so with a website to back it up.  I know my company called my history, my previous employer was kind enough to lie and say good things (of course not lie, I am teasing them)   I think Gee4s company is an exception to most or maybe government companies, nuclear, etc have stricter guidelines.  But then I have never worked for a company with high security of any type.   I am going to be honest, there are times I don't even think our company checks at all.  We had one hire that was interviewed and hired on the spot, started the next day.  I don't think references were ever checked for her.   Our company only employes 68 full time people and 4 part time people and the people who run the company are.. a bit unconventional to say the least.

I would say I love the blogs, but I really like everything DeskDemon offers, the home page articles, the blogs, my favorite area though is the forum board, even if I dont get to visit as often as I used too.   I have seen  spam but I also see it gone soon after.

Color coded files (purple folders a must!)
Purple Pen (no one can steal it, and I like purple!)
Foot rest to sit up straight
My cup warmer to keep my tea or coffee warm
My in box, it is customized and hard to explain but I would be lost without it!

Added must have:   My personal printer.   We have a big one, but this one I can make a quick copy, print a draft that I am working on.  It saves me so much time.  I still use the uber cool techy one for official stuff, but love my personal printer.  Save time = saving company money.  My time is more valuable then the two or three cartridges a year I go through.
