Juggling the needs of two separate companies might sound like a bit of a headache, but after starting on the road to her current role while she was in the middle of her college studies, Debbie Knox can more than handle the pressure.
Debbie is business development assistant for WDM and WDM Consulting in Motherwell, Scotland. Read about her varied and interesting job, in her own words...
"I'm required to wear a number of different hats in my job because I'm basically split between two companies - accountancy firm WDM and business development consultants WDM Consulting. I perform a general admin role for WDM and at WDM Consulting I am PA to Karen Reyburn, one of the directors, but my day can include anything from preparing for a seminar to sorting out IT glitches.
I've been with WDM for six years. I left school at 16 to study at ITEC Integrations, my local government funded training provider. I studied for Administration Level 2, gaining a number of SVQs (Scottish Vocational Qualifications). ITEC set up an interview for me with Watson, Dunne & Co (which later became WDM) and I've been with them ever since. For the first year and a half I worked four days at WDM and spent one day a week at college to complete my studies.
Initially I worked on reception, answering the phones and meeting and greeting clients - all very basic. But after two years I moved up to the main office and became more involved in admin. When WDM expanded its services and created a separate company, WDM Consulting, to address business development, I very naturally fell into the role of its administrative assistant. Over time I've really developed my skills and abilities, and as the business development side of the company has grown, I have become increasingly involved in that part of the business..."

On a par with un-jamming the photocopier or dealing with annoying salesmen, filing is probably one of the most disliked of all office jobs, but with recent technological developments, filing no longer needs to be the drudgery it once was.
An average filing cabinet takes up about 1½ square metres of space. A CD is wafer thin, 12cm in diameter and can hold all the information contained in a filing cabinet. CDs are easier to store and also provide a simple solution to storing archive copies off site. Filing on CD means that finding filed information is faster, while digital filing only has to be done once reducing the boredom and potential errors of re-filing.
Specialist document management software such as the Invu range enables very fast access to files. It can also be customised in various ways including the creation of an audit trail, global tracking of information, the restriction of access and/or amendment to specified users and access to the filing online when out of the office.
If you'd like to be able to access digital files from a remote site and don't have a bespoke document management system, SecureFetch enables secure file retrieval via email. Registration is free; you only pay when you retrieve something - very useful if you've left important information in the office when seeing a client.
