Title: Week of June 21...Ultimate resource..
Post by: andream on June 21, 2004, 11:07:27 am
Aside from your computer, What's your ultimate office resource? What's the one thing that you couldn't live without in your office?

Do tell...

Can I have two??

1.  My note pads, both old and current ones, vital for referring back to.

2.  My desk diary - I always keep it up to date just incase my computer goes up the spout!!

Definitely my notepads old and new.  In fact someone swiped my first one at this office and I'm still dealing with the reprocussion of not having those notes to hand many months later.  I now lock my desk drawer to protect my current one :)

I have to say though, I've definitely gone digital.  Although I print a lot of things I rely on Outlook, MS Office and the Internet for most everything I do.  When our network goes down or something is wrong with my computer in general I basically can't do much work.  I should keep a manul diary but as I now have to look after the diary's of 4 people it's a bit insane then trying to also write it all down by hand!

I need two as well -

1)  Outlook calendar
2)  Internet - My favourites - I have links to most things I need there.

Pen and paper do come in handy sometimes but I try to assign myself tasks so I can get rid of lists in my notebook.

I would have to say my (own personal) mobile phone as I keep all my internal and external business contacts, important dates and meetings plus notes / things to do list on it.  That way I don't get quite as upset when (and it always does) the network breaks down or my computer has a nervous breakdown, etc plus I can usually answer one-off out of hours questions posed by my boss(es) and team!.  I never leave home without it.

Gee, I use it as a means of self preservation (cannot rely on IT not to mess up my whole day/week/month etc) and it does my reputation good as someone with 'all' the answers - I don't actually make any calls on it except personal ones.

Text messages are always done via my computer (freebies I can actually make use of).  I know, how about being able to send fee text messages via DD?  What does everyone else think?

That would be great!  I text my boss every now and then from my own personal phone then re-charge the company but claiming for £5 worth of text msg every few months seems ridiculous (I still do though!).  I had tried some websites but then my boss can't reply to me directly and I must admit, it's quicker just using my phone.  There are also restrictions on the number of characters you can use on a website when texting.  If DD can find a good tool, I wouldn't mind trying it out too!!!!

Back to the original question: notepad and my personal phone as, like I said above, my boss texts me if it's more convenient for him when he travels.

Personally - I would never offer that service - you prob wouldn't be able to claim it back because it's such a small amount!

you know we are looking at SMS, but we're afraid that once the word gets out that you can text for free at DD, that our quota of "texts we don't mind paying for" would quickly be filled up with boy racers sending love sonnets to girl racers...or would you consider paying a nominal amount for a service that you can access via computer keyboard and send business texts from?
Enquiring minds want to know...

My phone is a 5 cent fee for text messages, so it keeps the gobbly gook messages out of it and only when you really want/need to send a message via text.  My brother and I have been using this on Verizon and it works as long as your phone is compatible, which fortunatley ours are.   Its easier to get a hold of him these days with his situation, especially since I really don't want to call the house.

I just text page my boss from the cell phone site directly (i.e. he has a sprint phone, so I send it from sprintpcs.com. I wouldn't pay for the service, as I can get it free elsewhere.

I just cannot think of anything else other than my computer - that's awful isn't it?!

This might sound silly, but I just love those clear plastic wallets.  So useful for keeping projects together and they sit better in your tray than things with paper clips around them!

Still nothing compares to my PC though.......I just about do everything on there!  If anything happened to it, I really think I would just sit there and cry!

Nicola (who's feeling a bit silly now!).

I also think my computer is my number one resource.  I use it to find phone numbers, address, make hotel reservations and other info I may need for work or personal use.  I also use Deskdemon as a resource guide to get answers to questions I may have.

I also like the clear plastic folders on my desk.  We have several people in the office who use these folders (they are from our former company) and I like them to keep my desk organized and it looks better.  The rest of the office will just through things on my desk with a paperclip and sometimes the clip comes off.  I have tried to get everyone else to use the folders but they refuse to.

When I working at my old company, I used to make a copy of my boss' calendar on Friday for the next week so if the computers went down (I was in IT so our computers got fixed first), I would have a paper copy to keep my boss  on track. and I would add meetings to this calendar as the week went on.

I have tried one or two of the free sites for text messages to my boss, but it's more hassle than its worth.  I don't have to do many - usually only when he's in a completely different time zone such as Australia or China - but I get 100 free text messages a month on my package anyway, and rarely use up to the limit, so it doesn't seem worth going through the hassle of trying to claim them back.  Although, the FD has said he'd be more than happy to refund them.
My can't live without in the office ?  Has to be OAG travel scheduler.

Ok Kharen, you got my attention.

What is OAG travel scheduler? My boss and I are 'into' new toys (gadgets, gizmos, programmes and the like) so would love to know more.

One of my colleagues realised the value of those plastic wallets today when another colleague knocked her screen filter off and in turn her coffee all over her desk!

I've now got one of those 'Sherpa' display things on my desk which is proving quite invaluable for keeping useful information close to hand.

All the best,
Nicola.

Aside from the computer, as you say in your lead...I guess I'd have to say my phone.  I've got it programmed to hold all my international contacts with speed dials, and can use it to page people.  I use it for teleconference meetings by hooking up the speaker portion and just listening in while I continue to work.
I forward important messages I receive from customers to the appropriate sales people or managers.  I've programmed in the express shipping company numbers, as well as other vendors.

I'm sure our phone system isn't the most current available, but it's got quite a few handy features, such as internal digital advisories for OUT OF THE OFFICE or IN A MEETING, etc.

Movinonup......your reply reminded me of a recent embarassing incident!

The guy from the telephone company was showing me the features of our new telephones.  "If you do 63*, it will make an announcement to everyone in the office".  He did not mention that this included everyone in our Travel Agency upstairs too!  So what did my wonderful colleagues downstairs get me to say?  "The toilet is free now"!  Thankfully one of our Travel Consultants upstairs rang down in the nick of time to say that they could hear me saying "Hello? Hello?"  in stereo around the office!  Given the fact that there were clients in the office.......I'm glad this is all they heard me say!  And what did my boss do in the height of my unprofessionalism here?  He just laughed!

All the best,
Nicola.

Absolutely my little notepad.  I carry it everywhere, and jot down the one million requests that come my way each day.  I rely on it, rather than my memory, and I would be in bad shape if it disappeared!

Can I have 2?

I'd say my laptop because I can check everything I need to from that, if I'm on the move or away.

And my mobile - like most of the rest, I have important numbers keyed into that so if I lose it, I've had it!!!  I don't even think I've got my fella's mobile number anywhere else!!!  ... maybe I should rethink that one!

I've thought long and hard on this question... and this is what I've come up with.  My cell phone and PDA, for contact information (both personal and professional) and my notepad.  Though like most of y'all, if my PC is not working, then I'm pretty much sitting still as 99% of my work is computerized.
