I have a manila folder with tons of articles ripped from various magazines. Now I can I go about creating an effective file system for them. All have specific heading like "Trade Marketing", "Consumer". I want to create file tabs, and an excel spreadsheet that will include the name of the article magazine, date, the header it's under (e.g. trade marketing). I originally asked people to give me a brief summary of the article (which wasn't done) and key words that would make it easier to search for. For example if someone comes running to me yelling "I need an article on in-store demos that happened in Meijer stores"
So they would go into the main database (excel spreadsheet) and do a ctrl + F (for find) and type in "in-store, demos, Meijer" and boom there are the articles. That would make it way easier to arrange the magazine articles.
The spreadsheet just takes the discipline of keeping it updated and remembering it's there! Marie is right when saying that the spreadsheet will only serve as a guide from where you can get the coordinates of the article and then search it manually in the cabinets etc.
I have 2 ways in mind of doing it for which you would need all articles to be scanned. If that done, 1. You can make a database in Access that would need a little bit of extra expertise 2. You can use Outlook Express as an indirect alternate. Create an identity for Magazine Articles. Send all articles separately (by putting their titles in the subject line and attaching the scanned file with that). Then create sub-folder in the In-box (with in that magazine articles identity) such as trade marketing, consumer etc. You can by this way find the name of the article in the subject line. You can also include in the message the reference no. of the article for manual search etc. I hope I am able to explain what I conceived. ![]() ![]() Naeem in Pakistan |
